We are currently seeking an Administrative Assistant for Preconstruction for our growing company.  The candidate must be a detail-oriented person with excellent time management, organization, and communication skills.  Proficiency in MS Office is required and one must be able to follow oral and written instructions, be self-motivated to perform tasks independently, and yet be an active team member as needed for special projects.

Job Duties:

  • Maintains and updates estimating schedule and project status worksheet.
  • Prepares paperwork for bids, fee proposals, and contracts, verifying all is in compliance, has signatures, etc.
  • Complies estimating documents in an organized and professional manner for presentation to Owners.
  • Compiles bid tabulations.
  • Checks Excel spreadsheets for accuracy and checks Word documents for correct spelling and grammar.
  • Handles clerical, administrative, and general office tasks to support the preconstruction team, including but not limited to data entry, typing, copying, and filing.
  • Answers phone calls and emails from clients and vendors.
  • Conducts research, compiles data, and prepares summaries for consideration and presentation as needed by Preconstruction.
  • Schedules meetings, including regular team meetings, and provide administrative support to meetings (organize attendees, venues, reminders, handouts, and relevant catering requirements) in a timely basis.
  • Manages the Preconstruction team’s calendar for meetings, etc.
  • Attend meetings and/or prepares and distributes meeting minutes as requested by the Preconstruction team.
  • Assist Business Development with proposal preparation and presentations as needed.
  • Assures adherence to corporate information policies.
  • Books and coordinates Preconstruction team training, conferences, and associated travel and accommodations, as needed.


  • Three to five years of administrative assistant experience.
  • Computer skills and excellent knowledge of Microsoft Office (Excel, Outlook and Word).
  • Knowledge / Willingness to learn Procore and iSqFt.
  • Solid interpersonal and communications skill
  • Strong work ethic
